The problem

When an application, a PEDR (doctoral supervision and research bonus) or a CNU (National Universities Council) file comes up, you frantically reconstruct years of teaching, supervision, responsibilities and publications.

Step-by-step method

  1. A single data sheet (a document or a spreadsheet): positions, degrees, teaching, supervision (MD theses, dissertations), collective responsibilities, conferences, learned societies.

  2. A “to be validated” log: each month, Claude spots new items in your calendar and emails (a thesis defence, an invitation, a jury) and proposes them; you validate.

  3. Publications come from PubMed, never retyped: Claude searches PubMed for your name and affiliations, and you confirm namesakes.

  4. Derive the documents: CV (French, English), activity history, annual report. Each piece of information is entered only once.

  5. Respect official templates: for an institutional report, Claude fills in the template provided without ever reformatting it.

  6. Recurring items (ID photo, scanned signature) are filed once, and used only on explicit request.

  7. Templates received (annual report, activity report) are filled in from the log, validated with checkboxes.

  8. The monthly task as a collector: it sweeps the areas (accepted manuscripts, thesis defences, talks, teaching, learned societies and networks) and feeds the history without retyping.

Safeguards

Industry-paid activities are filed separately and do not go into academic reports. No signature or stamp is ever added automatically.
